We collect only the data that is necessary to support our mission and fulfill our obligations. This may include:

1. Participant and Program Engagement

  • Contact details (e.g., name, email address) to communicate with you effectively.

  • Participation data (e.g., courses attended, event sign-ups, mentorship engagement).

  • Feedback and survey responses, to evaluate and improve our programs.

  • Optional demographic data, if provided voluntarily, to enhance inclusivity and measure impact.

  • Alumni updates, for occasional follow-ups and long-term outcomes analysis.

2. Donation-Related Information

If you choose to support us financially, we collect:

  • Donation details (e.g., donation amount, frequency, date, and associated name or email).

  • Billing information as processed by third-party platforms (e.g., Stripe or your bank).

We do not store payment card numbers or full banking credentials ourselves, and the processing of any payments is carried out via third party payment institutions with separate privacy notices.

We use this information to:

  • Process your donation

  • Issue donation receipts

  • Comply with financial and tax reporting requirements

  • Keep you informed of your donation’s impact (unless you opt out)

Lawful Basis for Processing

We process your personal data on the following legal bases:

  • Legitimate interests: for purposes such as managing our community, improving programs, and tracking impact (e.g., via internal analytics using our CRM).

  • Consent: for optional data such as surveys, photos, or if we recommend you to other EA organisations or projects. You can withdraw consent at any time.

  • Contractual necessity: to fulfill our commitments to you in providing you with career support, and for donation transactions if applicable.

  • Legal obligation:  if required to report data to public authorities or comply with regulatory requirements.

Data Sharing

We do not sell or monetise your data. We may share limited personal data only when necessary:

  • Within the effective altruism community: for high-impact referrals, career opportunities, or inter-organisational collaboration, only with your consent.

  • With data processors: we use trusted third-party platforms such as Google Workspace, Airtable, GMail, and Stripe to store or process your data securely.

  • For legal reasons: when required to comply with applicable laws (e.g., tax audits, criminal investigations, or public health requirements).

Where possible, data is shared in aggregated or pseudonymised formats. We ensure appropriate safeguards (e.g., EU Standard Contractual Clauses) if any data is stored or accessed outside the EEA.

How Long We Keep Your Data

We retain your data only as long as necessary for the purpose for which it was collected. This includes:

  • Course and event participation: retained for 1 year after last engagement. You will receive a notification from us one month in advance before we proceed to delete your data due to inactivity on your side.

  • Donation and financial data: retained for 8 years, in line with Hungarian accounting law.

  • Survey and feedback data: retained in anonymised or aggregated form, where possible.

You can request deletion of your personal data at any time and we will honor your request within one month (unless we are legally required to retain it, in which case we will inform you in our response).
